Job Summary:

The main responsibility of a Client Care Coordinator is to create and maintain an effective liaison between the Company and its customers to ensure the seamless delivery of high quality service. They are the primary point of contact for all cleaning and mitigation projects.

 

The primary function of this position is to be the conduit and coordinator of all aspects of the project while acting as the channel for conveying information to all parties involved including, but not limited to - company officers and managers, other team members, subcontractors, insurance adjusters, and clients.

 

Key Result Areas:

Key Result Area 1: Client Service Support create and maintain effective communication with client and insurance company to ensure seamless delivery of high quality service.  

  • Gather complete and accurate lead intake information from incoming calls.
  • Conduct Client Care Calls to ensure company is meeting expectations.
  • Initiate insurance Adjuster/Agency Care Calls to communicate project progress.
  • Respond to inquiries from all relevant people involved in the project within two hours.  

 Key Result Area 2: CRM System Support- monitoring the steps of the project life cycle.  

  • Enter all Lead Intake information in CRM while on the initial call.  
  • Ensure crews dispatched tasks are on the Production Calendar.
  • Ensure the uploading of photos and other documents in as real time as possible.
  • Document daily all job-specific activity and communication in CRM.

 Key result Area 3: Operations Support- primary point of contact with the client and Company personnel.

  • Print all field documents and prepare Field File for Production Manager.  
  • Assist Project Manager with dispatching crew as required.
  • Monitor and update project progress on a daily basis.
  • Coordinate client scheduling with production crews.
  • Follow up with clients to ensure that they are satisfied with the service received.
  • Monitor database for opportunities to book new work from existing clients.

 Key Result Area 4:  Administrative Support- coordinate mitigation, remediation, and repairs efficiently.  

  • Ensure that all job documentation is being entered in CRM daily.
  • Gather customer mortgage information within twenty-four hours after contract signed.
  • Review Job File within twenty-four hours for job completion.   
  • Accurately track equipment that requires service and clients that new service appointments based on last time of service.

Key Result Area 5: Accounting Support- provide complete and accurate billing information to facilitate quick billing and timely cash flow.    

  • Monitor time logs for accuracy and job costing.
  • Assist in the creation of estimates and ensure their timely delivery.
  • Submit the billing packet within forty-eight hours of project completion.
  • Ensure that the billing packet has been received by responsible party for payment within two days after submitting.  
  • Review Accounts receivable weekly and make collection calls daily.
